Best Voice Forward! TOP TELEPHONE TIPS First impressions are important! That’s why face to face encounters with first-time customers can spell the difference between a hit or a no-sale miss. And that’s why voice to voice encounters on the telephone are equally important . . . One top telephone tip is simple: Keep a friendly smile in your voice. That doesn’t mean that you sound like a grinning numskull. It does mean that you be pleasant, courteous, polite, and as helpful as you can. And if you don’t know the answer to a question, find out. Other tips — • Answer promptly. People don’t like to wait. If possible, answer the first ring. • Speak your name and department. “Hello” is a common greeting, but it means little to the caller. • Be tactful. If it’s your job to screen calls, don’t offend with that “Who’s calling” line. “May I ask who’s calling” is much more polite. • Speak distinctly. Nobody wants to hear you gargle or translate your mutterings as you munch a cookie. • Explain a delay. Let the caller know you are going to leave for a few minutes to get the required information or file or whatever. And when you put a caller on hold, don’t hold off too long. Yes, these tips have been said before and yes, they bear repeating; for voice to voice encounters on the telephone represent each one of us at this facility. So please put your best voice forward for us all. 13
