SECRETARY’S REPORT for the year of 1978 Dear Mr. President and Directors: The report on the activities of my office for the year of 1978 are herewith enclosed. All of these reports were sent to each of you monthly and are attached hereto as exhibits. You have received communications from me requesting assistance in your respective area. The Field Force is the LIFELINE of any insurance or sales organization and any help that can be given to me will be appreciated and every lead followed up. FIELD FORCE Under our present system we are handicapped in replacing Branch Managers due to deaths and resignations. There have been Branches merged and in other instances we are still seeking replacements. The contracts for 1979 have been signed and individual cases will be presented to this meeting. The Field Force members received promotional letters and material monthly. They were constantly urged to enroll new members and conserve those that we presently have on the books. Prospecting and contacting our present membership for names and increasing coverage was always stressed. This is why I turn to you for your additional help in adding to our Field Force. DISTRICT MEETINGS The meetings with the Field Force were held in Washington, D.C. in February and in Ligonier, Pa., in September. Various training type films were shown and encouragements were given to promote our cause with the Branch Managers. The meetings in the New Jersey, Pittsburgh and Chicago areas were held. All were well attended and reports were made by the officers. At each meeting of the Field Force or Districts, emphasis was placed on the enrolling of new members and conservation. The Branch Managers were requested to contact their respective Area, District or Section Managers for assistance. PRODUCTION CONTESTS There were two contests held in 1978. The first was for the Area, District and Section Managers. The other contest was for the Branch Managers and Agents only, in hopes of stimulating their interests with monetary rewards. The winners are shown in the attached exhibits. there are still other methods that may be tried to assure us of getting the most use from our advertising program. DELEGATES During the past year as well as the preceeding year the delegates to the 1976 Convention of the HRFA were contacted for their help. These delegates were requested to help our Field Force members in enrolling new members. Since they were delegates to the 1976 Convention and helped formulate policy, it was pointed out that their obligations are to promote the work of the Federation. Additional follow up will be done on this during 1979. NATIONAL AND STATE FRATERNAL CONGRESSES The National Fraternal Congress as well as the State Congresses were attended whenever my schedule permitted. Being a member of the Family Life Committee of the National Fraternal Congress, I was the banquet speaker at the Virginia Fraternal Congress. STATE RULES AND REGULATIONS We are constantly receiving communications from the NFCA and the States in which we operate regarding new laws. Most of the States are becoming stricter and enforcing their laws more stringently. These rules and regulations cover readability laws, disclosure regulations in the solicitation of Life Insurance, ten day free look, licensing and etc. These are on file in my office for your review. FRATERNITY I wrote the Secretary column in each issue of the Fraternity along with other articles. Obtaining more information and pictures from the field is being requested at all gatherings. The President receives the articles and pictures and publishes them. This format has been well received by the membership. MINUTES OF MEETINGS It seems that we are sending out minutes of meetings constantly. I am the Recording Secretary of the Executive Committee which held 55 meetings during the year. Along with this I am the Recording Secretary of the Board of Directors, Student Aid and Loan Fund Executive Committee and Board of Directors, and the Board of Managers of the Bethlen Home. The minutes of all of these were mailed to each Director to keep you up to date on the proceedings. BRANCH MEETINGS Due to the examination by the IRS in 1977, the Branches were advised to hold their meetings and send the minutes to my office. In most cases the cooperation was excellent and Branch information is on hand. We did not have an examination in 1978 but IRS can request one whenever they wish. EXHIBITS The attached exhibits are for your information and any additional information required is available from my office. ADVERTISING The advertising money spent was given for various church ads and newspapers during the holidays. Many of those receiving ads in the past have been excluded because they had no direct relationships with our business. For 1979 The Medical Director, Dr. Katalin Korossy, worked in cooperation with my office in processing all new applications. The Secretary accompanied the Treasurer to the bank on various occasions in conjunction with the bonds kept in the safety deposit boxes. 7
